A clear order brief reduces errors without requiring a lengthy questionnaire. Business partners need information that affects product selection, personalisation and delivery. A customer’s personal account does not need to become a technical document. Separate confirmed choices from matters still requiring agreement with the supplier, and record who will resolve each outstanding question.
Establish purpose and location
Record whether the vessel will hold all the ashes or a small portion. For a columbarium, obtain the space dimensions and current conditions from its administrator. If placement is not settled, mark that openly. Do not fill the field with an assumption, because the suitable model or size may change once the intended location is known.
Connect the capacity requirement to the cremation provider’s information or known inner-package dimensions. Body weight is not a substitute for measuring the actual package. Where information is missing, state who will obtain it and which order stage depends on it. This is more useful than assigning a familiar size without a confirmed basis.
Identify the precise variant
The order should name the model, capacity option and finish. A catalogue photograph or a description such as dark is insufficient identification. If a SKU or other product code is used, it must agree with those choices. Keep the display sample’s information separate from the final variant selected by the customer.
Explain the supplied package in the quotation. A presentation box, inner package, inscription or accessory may be selected separately. An object visible in a photograph should not become an unintended promise that it is included. When a quotation changes, the revised version should clearly replace the earlier one rather than leaving both circulating as possible instructions.
Approve personalisation separately
Collect names, dates and additional text exactly as they should appear. Check accented characters and the intended date format. Where a photograph is used, retain the original file and label the principal reference. Staff should not have to choose between several unlabelled images according to personal preference or assume that the most recently sent image supersedes everything else.
Treat artwork approval as its own order stage. Choosing a model does not establish approval of inscription placement or portrait size. Link the final proof to the specific order. If a change arrives after approval, communicate it promptly and confirm whether it can still be implemented. Do not quietly alter one part of the record while production follows another.
Confirm delivery and contacts
Establish where the vessel will be delivered and who receives it. Delivery to a partner, service provider or relative involves different contacts and handover arrangements. Supply the information needed for coordination without passing on unrelated personal details. Private family documents should not be attached to a product order merely because they are available.
Offer a schedule only after checking availability and the personalisation sequence. Dispatching an existing vessel and producing an individual order are different processes. If a gathering date matters, identify it as a requirement and obtain confirmation. A general catalogue description cannot replace agreement about the specific order and its timing.
Review the technical fields before ordering. Account access is on the professionals page, and the personalisation guide explains proof approval.
